What FF&E covers, and what it does not

FF&E stands for furniture, fixtures and equipment: the movable items that furnish a space, as opposed to the building itself. It normally sits apart from OS&E, the operating supplies such as linens and tableware. Fixed millwork often falls under the construction contract rather than the FF&E budget, but the line varies from project to project, and it is one of the most common sources of gaps and double-counting. It pays to confirm early which schedule each item belongs to, particularly for reception desks, banquettes and built-in bars.

Reading an FF&E schedule properly

A good schedule lists each item with a code, quantity, location, dimensions, finish references and a specification. The quote then depends on what those entries actually pin down. Where a line says "custom banquette per drawing" and the drawing has not been issued, or a fabric is named with no yardage or backing, those assumptions need to be stated in writing. We return questions on anything ambiguous, because a clarification at the bid stage costs far less than a change order after the award.

Prototypes before quantities

When an item repeats across a project, such as a guest room desk or a restaurant chair, the first unit is the one that matters. A prototype or mock-up approved by the design team fixes the comfort, the finish and the details, and later units are checked against it. Prototyping feels like a delay and usually saves time, as it catches problems while they affect one piece and not a hundred. Budget and schedule both need to allow for that step.

Delivery, storage and sequencing

FF&E tends to arrive late in a project, when the site is at its busiest and the elevator is most in demand. Delivery has to be planned with the contractor, including who receives the goods, where they are stored and when each floor or area is ready. Phased deliveries and multi-site rollouts need the same plan, repeated. Shipping and installation are quoted per project, so send the sites, access limits and target dates with the bid package.

Common questions

What is FF&E procurement?
It is the process of specifying, pricing, ordering and delivering the furniture, fixtures and equipment for a project. On a custom project it also includes manufacturing the items that cannot be bought from stock.
What is the difference between FF&E and OS&E?
FF&E is the longer-lived furniture, fixtures and equipment. OS&E covers operating supplies such as linens, tableware and small items that are replaced more often.
Do you manufacture FF&E or only source it?
We manufacture custom furniture, seating, casework and fixtures in our New Jersey shop. For anything outside our own production, confirm with us at the bid stage how it would be handled on your project.
Can you bid from an FF&E schedule?
Yes. Submit the schedule, drawings, specifications and deadline through the commercial bid form and we will review the package and come back with questions or an estimate.
Do you work on multi-site rollouts?
Yes, repeated fixtures and furniture can be built from an approved prototype. Send the number of sites and the opening sequence so that production and delivery can be planned together.

Plan your piece

The right details make a better brief.

Whether the project starts as a custom furniture quote, a luxury furniture commission, a commercial millwork package, or an FF&E procurement request, the workflow is structured around dimensions, materials, budget, drawings, and delivery.

  • Approximate dimensions and how the piece will be used.
  • Material, finish or upholstery references.
  • Quantity, target date and delivery city or ZIP code.

Shipping is quoted separately based on the product and delivery location.
